Apartment OÜ - accommodation terms & conditions

Please read the following terms and conditions before booking and checking into the apartment.

1. Booking and Payment

  • Guest apartments can be booked on a daily, weekly, or monthly basis. Stays longer than one (1) month are subject to special conditions.
  • We recommend making reservations 7–14 days prior to arrival.
  • Bookings can be made by phone, e-mail, or via www.apartment.ee.
  • The minimum age for booking is 18 years.

Before arrival, the following two invoices must be paid:

  1. Accommodation invoice
  2. Security deposit invoice
  • The security deposit must be paid by bank transfer.
  • The accommodation invoice may be paid by bank transfer or in cash at the Apartment OÜ office.
  • Extra costs (utilities, administration, etc.) are added to the accommodation price and depend on the number of guests, booking period, and apartment size.
  • Requests to extend the stay must be submitted in writing at least one (1) month in advance.
  • Apartment keys and access codes are issued only after both invoices have been paid by the arrival date.
  • If the guest wishes to terminate the accommodation before the agreed check-out date, Apartment OÜ must be notified by e-mail at least one (1) month in advance. No refunds will be made for unused accommodation days.

2. Check-In and Required Documents

  • Check-in takes place at the Apartment OÜ office, Pilve 4, Tallinn, between 12:00–17:00, unless otherwise agreed.
  • All guests must present a valid ID card or passport upon arrival.
  • All persons staying in the apartment will be registered on the Apartment OÜ registration card.
  • The apartment handover time will be agreed with the client in advance.

3. Door Code and Keys

  • The guest is responsible for the apartment keys and access code.
  • In case of loss, Apartment OÜ must be informed immediately. Changing the door code is free of charge.
  • In case of lost keys, a new lock and keys must be ordered. The cost depends on the lock type and number of keys and is EUR 150–190, payable by the guest.
  • A €30 fee applies for apartment staff call-outs outside normal working hours.

4. Accommodation Rules

  • All Apartment OÜ apartments are strictly non-smoking. Smoking is prohibited in the apartment, on balconies, in stairwells, and in front of the building. Violations are subject to a fine.
  • Smoking is permitted only in the designated smoking area in the courtyard.
  • Pets are not allowed.
  • Apartments may not be used for parties, events, or loud gatherings.
  • The apartment may be occupied only by the number of guests confirmed in the booking.
  • Subletting or accommodating unauthorized persons is prohibited. In case of violation, the booking will be cancelled and the security deposit retained.
  • Quiet hours: 23:00–07:00.
  • Possession or use of illegal narcotics and any criminal activity is strictly prohibited and will result in immediate eviction.
  • Apartment OÜ is not responsible for loss of guests’ personal belongings.
  • Lost-and-found inquiries can be submitted by e-mail. Items are stored for a maximum of one (1) month.
  • The guest must keep the apartment clean and tidy and return it in its original condition.
  • Drains and toilets must be kept free of blockages.
  • Electrical and sanitary equipment must be used properly and utilities consumed economically.
  • The guest may not carry out repairs, modifications, painting, or install/remove fixtures, locks, nails, hooks, or screws.
  • The apartment may be used for residential purposes only.

5. Damages and Reporting Issues

  • Any defects must be reported to Apartment OÜ within seven (7) days of moving in. Failure to report is considered confirmation that no defects existed.
  • The guest must allow Apartment OÜ staff access to inspect the apartment when necessary.
  • By moving in, the guest confirms that the apartment and all equipment are in good working condition.

6. Check-Out and Final Cleaning

  • Check-out time is no later than 12:00 on the day of departure.
  • The apartment must be returned clean and in original condition.
  • If the guest leaves the apartment in poor condition (unclean, with damaged or soiled bed linen, towels, etc.), Apartment OÜ will arrange the cleaning. This service is chargeable and the cost will be deducted from the guest’s security deposit.

     Please ensure:

  1. Floors are clean in all rooms
  2. All personal belongings are removed
  3. Stove and oven are cleaned
  4. Refrigerator and freezer are emptied and cleaned
  5. Bathroom and toilet are clean and free of stains
  • A final cleaning service can be ordered from Apartment OÜ. Please notify us at least one (1) week in advance. This service is subject to an additional fee.

7. Security Deposit Refund

The security depost will be refunded within seven (7) working days after handover, provided that:

  • No rules or terms have been violated
  • No damage or unusual wear is detected
  • The apartment is properly cleaned
  • Keys have been returned

8. Accommodation Prices

 Prices are listed on www.apartment.ee and include:

  • Clean bed linen and towels
  • Soap and basic kitchen utensils
  • Free WiFi (base speed) at Pilve 4, Tallinn
  • Free use of washing machine and dryer
  • Television (in most apartments)
  • Free parking (subject to availability at Pilve 4 and Aasa 2)

9. Cancellation Policy

  • Cancellations must be submitted by e-mail at least one (1) month before departure. No refunds are issued for unused days.
  • In case of no-show, Apartment OÜ reserves the right to retain the prepayment.
  • Apartment OÜ is not responsible for illness, weather conditions, or changed travel plans.

10. Apartment OÜ Liability

  • Apartment OÜ is obliged to hold the booking only if all prepayment conditions are met.
  • Apartment OÜ is not responsible for circumstances beyond its control (e.g. technical failures or service disruptions).
  • Complaints not reported immediately will not be considered.
  • Complete silence within the apartment complex cannot be guaranteed.

11. Website Usage Principles

  • All website content is protected by copyright.
  • The website may be used for personal, non-commercial purposes only.
  • Reproduction or publication of website content without written permission is prohibited.
  • Use of the Apartment.ee trademark is permitted only for personal, non-commercial purposes.
  • Violations may result in legal action or restricted access to the website.
